About the Department:
The role of the Office of Communications is to develop strategies, create standards and produce
a wide range of communications in support of key University priorities and initiatives, including brand development and enrollment management.
Position Summary:
We are seeking an enthusiastic and motivated Administration Assistant to join our Communications Office team at AUK. The successful candidate will be responsible for providing administrative support to the Communications team and ensuring the smooth operation of the office. The role will require excellent organizational and communication skills, attention to detail, and the ability to work in a fast-paced environment.
Key Responsibilities:
- Support the office’s day-to-day workload and other tasks assigned by the Manager of the Communication Office
- Update, create, and maintain various internal documents and calendars.
- Prepare and edit documents, including reports, presentations, and meeting minutes.
- Schedule meetings and weekly tasks for staff and organize and maintain a content archive.
- Assist with running the social media platforms and responding to inquiries on social media and the office’s incoming and outgoing mail, email, and telephone calls.
- Basic knowledge of photography and social media content creation.
- Respond to internal requests received through the communications email and service request forms and coordinate with other units on mutual tasks.
- Assist with event planning and coordination, including logistics, venue arrangements, and vendor management.
- Maintain office supplies inventory and order as necessary.
- Other related duties and responsibilities, as assigned.
Qualifications and Experience:
- A Bachelor’s degree in a related field is preferred.
- 1- 2 years of experience in an administrative support role.
- Excellent organizational, time management, and problem-solving skills.
- Strong communication skills, both written and verbal.
- Advanced English speaking and writing skills, Kurdish and Arabic is a plus.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team, with a positive attitude and a strong work ethic.
- Knowledge of event planning and coordination is an asset.
- Able to produce a range of eye-catching content that engages different audiences, whether online or in print.
- Advanced skills in searching the internet for information.
- A team player and able to build effective working relationships and trust with colleagues at the office of communication and the wider university community.
